Curated Vines - Terms and Conditions.

1. Introduction
Curated Vines (“we”, “us”, “our”) curates premium corporate and private vineyard experiences across the Sussex Winelands, working with trusted vineyard partners, transport providers and activity suppliers (“Suppliers”). By booking an experience with Curated Vines, you (“the Client”) agree to the following Terms & Conditions.
2. Eligibility
All guests must be aged 18 or over. Proof of age may be requested by Curated Vines or any Supplier.
3. Booking, Deposits and Payments
3.1 Booking Confirmation
A booking is confirmed only once Curated Vines issues written confirmation and the required deposit has been received.
3.2 Deposit
A 50% deposit is required to secure your date, itinerary and Supplier services. No services will be held until this deposit is paid.
3.3 Final Balance – 10 Weeks Before Event
The remaining balance is due 10 weeks (70 days) prior to the event date. For bookings made less than 10 weeks before the event, the full amount is payable immediately on confirmation.
If any Supplier requires payment earlier than 10 weeks, Curated Vines reserves the right to invoice the Client earlier for that portion.
3.4 Late Payment
Curated Vines reserves the right to charge interest on overdue invoices at 1% above the Bank of England base rate.
3.5 On-the-Day Costs and Additional Purchases
Any discretionary ‘on the day’ costs not included within the pre-agreed itinerary and requested on the day by the Client (for example, additional drinks, wine purchases, gifts, optional food items or upgrades) must be settled directly with the Supplier at the venue, unless prior written agreement has been made for Curated Vines to settle on the Client’s behalf.
Some venues apply a discretionary service charge for seated dining experiences. Curated Vines will advise the Client in advance of the event if such a charge applies. Unless otherwise agreed in writing with Curated Vines, any such service charge must be settled directly by the Client on the day of the event by card.
3.6 Large or Complex Events
For large-scale, high-value or bespoke events that require early commitment from Suppliers, Curated Vines reserves the right to request full or partial payment earlier than the standard payment schedule. Any such requirement will be communicated during the proposal or itinerary-confirmation stage.
4. Client Cancellations
Curated Vines understands that plans can occasionally change, and we will always aim to be as supportive and flexible as possible. Our events typically involve multiple specialist suppliers who require early commitment; therefore the following cancellation terms apply:
4.1 Cancellation Fees
More than 56 days before the event:
· The 50% deposit is non-refundable.
· Any remaining balance will be refunded.
· Alternatively, the Client may transfer the event to a new date (subject to availability).
If Curated Vines has already committed to non-refundable Supplier costs at this stage, these costs will be deducted from any refund or may become payable by the Client.
Between 56 and 31 days before the event:
· 100% of the total event cost is payable.
· Curated Vines will offer either: (a) Transfer to a new date (subject to Supplier availability and any price differences), or (b) A credit note valid for 12 months.
No cash refunds are issued during this period.
30 days or fewer before the event:
· 100% of the total event cost is payable.
· No rebooking, postponement or credit note is available.
4.2 Guest Number Adjustments
Final numbers are due 21 days prior. Numbers may increase thereafter but not decrease. Curated Vines may adjust pricing if minimum numbers are not met.
Where Supplier policies require earlier or stricter notice periods, the Supplier’s terms will apply. Curated Vines will inform the Client of these requirements during itinerary confirmation.
5. Changes by Curated Vines
Curated Vines may amend itineraries where required for safety, weather, Supplier availability or operational reasons. Equivalent alternatives will be offered where possible.
6. Itinerary, Timings and Client Responsibilities
6.1 Final Itinerary
All final details must be agreed by the Client no later than 14 days before the event. Any changes requested after this point cannot be guaranteed and may incur additional charges although we will always do our very best to be as supportive and flexible as possible
6.2 Punctuality
Clients and guests are expected to arrive on time for all scheduled activities. We will always do our best to keep the itinerary running smoothly, but missed elements caused by lateness cannot be guaranteed or refunded.
6.3 Vineyard Terrain & Weather
Vineyards are working agricultural sites and may include uneven, muddy or steep terrain. Events continue in all weather unless conditions are deemed unsafe. Clients and their guests are advised to wear appropriate outdoor footwear and clothing in case of inclement weather.
6.4 Accessibility & Access Needs
We want every guest to feel welcome and comfortable. Vineyards can include uneven or natural terrain, and some spaces may have limited accessibility.
If any guest has access needs or mobility requirements, please let Curated Vines know as early as possible so we can plan appropriately.
We will always do our best to make reasonable adjustments and will discuss any known limitations with you before the event.
7. Food, Drink, Allergies and Dietary Requirements
To ensure we can take care of every detail and work smoothly with our vineyard and dining partners, we will ask you to share any dietary or allergy requirements at least 21 days before the event. We will always do our best to accommodate requests made after this point, but cannot guarantee all adjustments.
Only food and drink supplied or approved by Curated Vines or Suppliers may be consumed on Supplier premises or in vehicles.
8. Trasnport, Safety and Guest Conduct
8.1 Alcohol Consumption and Supplier Policy Compliance
Curated Vines events will likely involve the consumption of alcohol, and Clients and their guests are requested to drink responsibly. Guests must follow all safety, alcohol, conduct and operational policies of vineyards, transport providers and other Suppliers. Curated Vines and Suppliers reserve the right to refuse service of alcohol to any guest who appears intoxicated or whose behaviour poses a risk. Curated Vines or its Suppliers may remove any guest acting unsafely, disruptively, intoxicated or in breach of Supplier policies. In these cases no refunds, compensation or alternative arrangements will be provided.
8.2 Responsibility for Damage or Loss
Clients are responsible for any damage or loss caused by themselves or their guests, including but not limited to:
· Damage to vehicles, vineyard property or equipment
· Excessive cleaning costs (including sickness on vehicles)
· Breakages or misuse of facilities
All such costs must be paid in full by the Client directly to the Supplier.
8.3 Transport & Transport Safety
Transport is provided by licensed operators. Guests must follow driver instructions and comply with UK road laws. Seatbelts must be worn at all times.
Curated Vines is not liable for delays caused by travel, traffic, weather or road conditions beyond its control.
8.4 Personal Safety
Guests must follow all safety instructions relating to vineyard hazards, restricted areas, machinery and weather conditions.
9. Photography & Marketing Use
Curated Vines and its Suppliers may capture photographs during your event for marketing purposes. We will check with the Client at the time of booking whether photography is generally permitted for your group.
We will also check sensitively with guests on the day before taking any identifiable photographs, and will fully respect anyone who prefers not to be photographed. If you would prefer not to appear in any images, please let your host know at the start of the event or notify us in advance. Guests may withdraw consent at any time.
10. Liability, Insurance & Personal Property
Curated Vines holds Public Liability Insurance. Curated Vines does not provide business travel or personal insurance. Suppliers operate under their own terms - while on Supplier premises or vehicles, guests are covered by the Supplier’s public liability insurance.
Curated Vines accepts no responsibility for loss or damage to personal property, including items left in vehicles or venues. Curated Vines is not liable for injury or loss arising from Supplier negligence, failure to follow instructions, intoxication, terrain, weather, missed connections or force majeure.
11. Force Majeure
Curated Vines is not responsible for delays or cancellations due to events beyond our control.
12. Complaints and Feedback
Your experience matters deeply to us. If something hasn’t gone quite as expected, please let us know — we genuinely value the opportunity to put things right.
You can share feedback on the day of the event with your Curated Vines host or make a complaint by emailing sara@curatedvines.co.uk within 14 days of your event.
We’ll acknowledge your message within 5 working days, look into the matter carefully, and respond as soon as possible.
14. Data Protection
Curated Vines complies with UK GDPR. Personal data is used solely for event administration.
15. Amendments to Terms
Curated Vines may update these Terms at any time. The applicable version is that in place at booking confirmation.
16. Governing Law
These Terms are governed by the laws of England & Wales.
